CASCase study
A custom SaaS for a solo professional, giving back 80% of their admin time
A solo professional running their whole business across spreadsheets, an inbox and follow-ups held in memory: prospects, clients, campaigns, partner publishers, invoices, contracts and tracking codes. Every client report was rebuilt by hand.
The constraint No off-the-shelf tool covered both sales tracking and affiliate management, and stacking three subscriptions for a single person was out of the question. The tool also had to outlive the engagement: delivered, then autonomous, with nobody behind it.
How it ran
- Scoped from their actual work rather than a feature list: what they redo every week, what they forget, what they hate.
- One single application covering the whole chain: prospects, import, clients and detail records, tasks, campaigns, partner publishers, contracts, invoices and tracking codes.
- Public dashboards and shareable reports, so their own clients serve themselves instead of asking.
- Automatic generation of the recurring reports they used to rebuild by hand every month.
- Protected accounts and isolated data, managed hosting, continuous deployment.
- Hands-on training then full handover: the tool runs without me.
Outcome
- Roughly 80% of admin time given back, on their own estimate.
- One application instead of a pile of spreadsheets and email threads.
- Delivered then handed over: it runs on its own, with no vendor dependency.
What I take from itA tool for one person is not judged on features but on the number of gestures removed. And the real deliverable is the handover: as long as the vendor stays indispensable, the client has not saved time, they have moved it.
